Getting Started with eSyllabus

eSyllabus became the University Standard in Spring 2025

Effective Spring 2025 undergraduate and 5000 level classes, will use this new system to post all syllabi and curriculum vitae.

  • The existing HB2504 web page will no longer be used
  • No more uploads are required!
  • No syllabus templates will be sent out by the Office of the Provost as the new system manages those aspects!
  • Once a syllabus is published it is automatically posted to the new HB2504 portal.
  • Students access eSyllabus from the same menu link instructor's use
  • Faculty can track student engagement with syllabi within the application
  • Access to an eSyllabus document is controlled by your eCourses permissions (teacher or co-teacher).
    • You will not be able to access syllabi e-documents if you are not the instructor of record in banner UNLESS your department head or administrative associate email [email protected] to indicate you should be added.
Curriculum Vitae –  New Faculty please email vitae to [email protected]

Faculty hired after Fall 2024 or who did not have a CV in the legacy HB2054 system -- please forward your CV to [email protected].   CIITS can enter CVs only, we do not have the resources to enter syllabi for faculty.

  • CVS have been formatted to meet the HB2504 law requirements and the university standard template and in many cases have been abridged.
  • Faculty can edit their vitae but are strongly encouraged to keep it to about 2 pages to remain in compliance with the law.
Faculty are Responsible for Entering their Own Syllabi
  • We lack the resources to provide syllabi entry services.
  • There are no more syllabus uploads,  enter the required content into eSyllabus section by section.  There is no conversion program to take a word or PDF and apply it to eSyllabus.
  • We can provide technical assistance if needed. Email [email protected] or call (936) 261-3283.

For the first time, the only way to move legacy sylalbi into the system is to copy and paste section by section or type the information in.  Refer to the Entering Information into eSyllabus Guide for more information.

On-Demand Training Resources

It is expected most faculty will be able to learn how to use this intuitive system without the need for live training.

We have prepared an 11-minute quick training video to orient you to eSyllabus.

Additional optional videos are also available on specific topics.

Written Guides

Accessing eSyllabus
  • Faculty will access this new system via eCourses classes using the third link from the top labeled eSyllabus.
  • If  importing a course into a new shell using the Copy All option the eSyllabus link may not be present and will need to be added back.
  • We will no longer use the Syllabus link. Only the eSyllabus link should be present.

Copying Text & Tables into eSyllabus

Text can be copied from other programs into eSyllabus the same way as text is copied in any Microsoft program.  Some formatting features will be lost when copying and may require re-edits.

There are two methods to copy table information in eSyllabus

  1. Copy it cell by cell.  This works well from either Word or PDF documents.
  2. Delete the reference table and copy the entire table from a Word document.  This can be done from PDFs, but not easily.  It is usually easier to convert the PDF to a Word Document then copy the table.

To delete a table inside of eSyllabus (method 2)

  1. Click on any cell in the table
  2. In the pop-up menu, click on the Trash can Icon to remove the table

Fixing Accessibility Issues in Copied Tables (This process is demonstrated in the video below)

When tables are copied via method 2 (copy the entire table), two accessibility issues are generated, both are easily fixed.

  1. Click the Accessibility icon in the lower left corner
  2. Check the box to add a header row, a gray header row will appear
  3. Provide a caption when prompted
  4. Copy the header row (now in Row 2) of your table to the first row, cell by cell
  5. Click on any cell in the table of the now empty Row 2 to bring up table editing tools
  6. Click on the Row Tool
  7. Click Delete Row

Course Leads & Primary Syllabi (All Faculty Please Read this section)
  • If your program or department assigns lead instructors to build syllabi for all sections of a course, please wait until they indicate the document is complete.
    • eSyllabus copies the primary syllabus down to all sections only if no content has been added to it by the section instructor.
  • Only 1 primary syllabus is possible per course, so if it is taught in different time formats (16 week, 8 week) it is not possible to make one for each type.
  • Course lead access can only be granted via an email to [email protected] by department heads or deans.
  • Course leads will go to the Simple Dashboard inside eSyllabus and click on the Primary Syllabus for courses they are responsible for.
