Remediation Flow: Document: The document contains images without a description (PDFs)

Updated on

This document covers how to enter alternative text in PDFs.  Refer to our Guide on Writing Quality Alt-Text for tips on what to write.

Entering Alt-Text in Acrobat Pro

Alt-Text can only be entered with the desktop version on Adobe Acrobat Pro (as opposed to Acrobat Reader) which is licensed to all PVAMU Employees by default.  Installation on university hardware should not require administrator rights.

Student workers and graduate assistants will need access granted via a request to CITE from their department head.

Refer to our Guide on How to Obtain Acrobat Pro if necessary.

Adobe Acrobat is less user friendly than Microsoft Office products are for accessibility remediation.  It is strongly recommended that if you have the PDF document in PowerPoint, Word, Excel or OneNote format to remediate in those programs.

Step 1: Open the Document in Acrobat Pro (not pictured)

Step 2: Click on All Tools

Step 3: Click View More

All Tools, Marked 1, View more Marked 2

Step 4: Click Prepare for accessibility

Add Alternate Text menu item marked 4

Step 5: Click Add alternate text

Add Alternate Text Menu Option Screen in Adobe Acrobat Tools

Step 6: Work through the Set Alternative text Dialog box.  Unlike MS Office when clicking the arrows the typed text is automatically saved.

Set Alternate Text Dialog Box Marked 5

Mark as decorative should only be used when the image has no instructional purpose or is completely redundant -- that is all concepts in the image are also in the text near it.  See Guide to Writing Quality Alt Text for more information.

Expand or collapse content Add Long Descriptions in Adobe Pro

If a figure can not be properly described in Alt-Text, a long description is required.

Step 1: Edit the Document

  1. Click on Edit
  2. Click on Text

Next Step:  Draw a box below the image, enter text

Whenever possible keep the image and the long description on the same page.
