Technical Guide to Entering Alt-Text in PDFS & MS Office Documents

Ally only provides the ability to directly enter alt-text in Canvas HTML pages (announcements, assignments, discussions, quizzes, pages).  It only identifies missing alt-text in documents created by other programs.

  • PDFs must be remediated using Adobe Acrobat Pro
  • Word, PowerPoint, Excel and OneNote documents are fixed via Microsoft Accessibility Checker
  • Google Docs/Slides/Sheets should be converted to their Microsoft document versions before accessibility checks are run.  The Google accessibility checkers are not as robust as the Microsoft tools.

Step 1: Click on the Review Tab

Step 2: Click Accessibility

In some documents an option may appear to Quick Fix shapes that are decorative. This is an AI judgment call, please review carefully when using this tool.

Step 4: Enter the Alt Tex in the Panel

Step 5: Either Click Approve or Save.  

The assistant will advance to the next item needing alt-text automatically.

MS Office generates AI text for each image that lack ones.  It is often incorrect.  Approve indicates the text is not human generated.  Save indicates it is.

Mark as decorative should only be used when the image has no instructional purpose or is completely redundant -- that is all concepts in the image are also in the text near it.  See Guide to Writing Quality Alt Text for more information.

Alt-Text can only be entered with the full version on Adobe Acrobat Pro which is free to all PV Employees.  Refer to our Guide on How to Obtain Acrobat Pro if necessary.

Adobe Acrobat is less user friendly than Microsoft Office products are for accessibility remediation.  It is strongly recommended that if you have the PDF document in PowerPoint, Word, Excel or OneNote format to remediate in those programs.

Step 1: Click on All Tools

Step 5: Work through the Set Alternative text Dialog box.  Unlike office when clicking the arrows the typed text is automatically saved.
